How it works

AboveBoard turns each client's QuickBooks into a continuously synced copy of their financials, then assembles the monthly deliverables from that copy. Here is the whole workflow, in the order you'd live it.

Add a client and connect their QuickBooks

Create the client record, then connect their QuickBooks Online company through Intuit’s standard OAuth flow, the same authorization screen you have seen in other accounting integrations. AboveBoard reads the books and never writes to them: nothing in the product creates, edits, or deletes anything in a client’s QuickBooks. Connection tokens are encrypted before storage and are never exposed to the browser.

Data syncs: once historically, then continuously

The first sync pulls 24 months of monthly P&L and balance sheet history, open receivables and payables, and the trailing twelve months of transaction detail. After that, QuickBooks notifies AboveBoard when the books change and we fetch just the changes. In our production verification, an edit in QuickBooks reached AboveBoard in about 15 seconds.

A daily sweep backstops anything a notification misses, and a “Sync now” button is always available. If a connection breaks, for example when a QuickBooks authorization expires, the client’s page shows a reconnect banner and the data is clearly marked as possibly stale.

The dashboard shows every client with cash, monthly burn or net income, runway, revenue against the same month last year, sync freshness, and a red/yellow/green health flag with transparent rules (red means runway under three months or a broken sync, never an unexplained score). Click into any client for twelve-month trend charts, expense breakdowns, AR/AP aging, and recent transactions.

Generate the monthly package

One click builds the month’s package: a branded cover with KPIs, P&L against prior month and prior year, the cash and balance sheet section, and operating expense detail. The figures are computed from the synced data and frozen into the package at generation. A later sync can never silently change a report you have already reviewed.

AI-drafted commentary, with you in charge

Each section gets draft commentary written by an AI model (Anthropic’s Claude). The model is given only figures our backend has already computed. It does not calculate numbers, and it is instructed to reference only the values provided. Every draft is labeled as a draft, is fully editable, and must be explicitly approved, section by section, before the package can be finalized. Your edits are stored separately from the original AI text, so the audit trail shows both. If the AI service is unavailable, a deterministic built-in drafter produces the starting text instead, and the package is labeled accordingly.

Finalize and export

Once every commentary block is approved, mark the package final. Finalized packages are immutable: the database itself refuses changes to them, from anyone. Export a print-ready PDF through your browser’s print dialog, styled with your organization’s branding.

Forecasts and alerts

A 13-week direct-method cash flow forecast is built per client from open receivables (with a collections lag), open payables at their due dates, and recurring expenses detected from transaction history, with manual adjustment rows you control and versioned snapshots you can restore. Configurable alerts (runway below a threshold, cash floors, unusual transactions, expense spikes, stale syncs, loss streaks) are evaluated daily and delivered to a notification center and an email digest, and every alert links to the data behind it.
